Intake check and approve: Privacy Policy
Last updated: November 1, 2026
This policy covers Intake check and approve, an app for monday.com made by Adwaizer AI Consulting Inc. (Ottawa, Ontario, Canada). The app checks a request item on your board for missing facts, lets a triager approve or return it, and on approval creates the project board from your template. The app is in development and is not yet listed on the monday.com marketplace. Our website has its own Privacy Policy.
1. What the app reads and writes
- The item view reads the item’s column values through the monday.com API, with your own signed-in monday.com session. We keep no copy of what it reads.
- On a decision, it writes four columns on your board, which your admin maps or the app offers to create: Decision (Approved or Returned), Decision reason, Decided by and Decided at, plus one update on the item. Nothing else is written.
- Your intake rules (column mapping, required facts, thresholds, approvers) are saved in your monday.com account through monday.com’s app storage or the app’s settings view, not in a database of ours.
2. What we keep
Only the recipe “On approval, create the project board” needs our back end. When an item is approved, monday.com sends our back end the item id, and the back end creates the board from your template. For that we keep:
- the monday.com access token the recipe uses, encrypted;
- one log line per run: the item id, the time and the result. No request text.
3. How the token and personal information are protected
The access token and any personal information we hold are stored encrypted. We plan to run the back end on monday code, monday.com’s own hosting, where the token is kept in monday.com’s secure storage. If we run it on our own host instead, it will be Amazon Web Services in Canada (ca-central-1), with the token stored encrypted; we will update this page before that change.
4. Third parties and domains
- monday.com: the platform the app runs in, the API it reads and writes your board through, and, on monday code, the hosting and token storage.
- Amazon Web Services: only if we host the back end ourselves (section 3).
- AI drafting (off): the “Draft what is missing” assistant is switched off and no AI model provider is used. Before it is switched on, this page will name the provider, its domain and its retention. It would send at most the request’s text columns and the names of the missing facts, never people’s emails, attachments or other items.
5. Retention and deletion
The rules and the decision columns live in your monday.com account, under your control. To have the access token and the log lines we keep for your account deleted, email [email protected] with your monday.com account name. We confirm that the request comes from you, then delete them.
